Financial & Cancellation Policy

Cancellations

We require one business day notice is required for cancelling or rescheduling appointments. A cancellation fee, value based on the current NSDA Suggested Fee Guide, may be payable on cancellations without adequate notice and “no-shows”. Coburg Dentistry Inc. reserves the right to use discretion when applying this fee.

In the event of illness, please contact the office as soon as possible. In many cases we will be suggest rescheduling your appointment.

Considering severe weather conditions, illness involving a critical staff member, an emergency at our office, or other unforeseen events, we will notify you as soon as we are able to reschedule your appointment. As a rule, if Dalhousie University Halifax Campus is closed due to inclement weather, we are as well. Arrangements for rescheduling appointments will occur at your earliest convenience, with treatment priority given to those affected by the cancellation.

Financial

For your convenience, we make every effort to direct bill your dental benefit provider if applicable. You are responsible for the full amount of your consultation or treatment. We will attempt to estimate the portion not paid by your insurance benefits. This includes co-payments and services not covered by your insurance benefit plan. We are pleased to offer many payment methods, including e-Transfers, most major credit cards, Interac, and cheques. We are unable to accept cash payments at this time.

Be prepared to provide payment in full for any fees incurred during your visit that day. Payment plans may be facilitated through a designated third-party lender. Outstanding accounts over 30 days may be subject to interest accrual on the balance. We will attempt to reconcile outstanding accounts prior to sending to a third party, however outstanding accounts over 90 days may be sent to a collection agency. We will attempt to deliver the necessary documents for action before escalating to a third party. Please ensure your contact information on file remains current.

Remember to bring your insurance benefit plan information with you for your first visit. This may include full names, birthdates, and address of policy holder(s), as well as coverage details and maximums. Without this information we may not be able to coordinate benefits or provide treatment cost estimation.

If an account is opened under joint names of patients or as a family unit, then we may in our discretion, disclose to any of the persons named as primary patients on the joint account the financial details for the account with the accompanying description of services to support such charges.
